Full-Text Indexing Server for Microsoft®

The Full Text Indexing Server for Microsoft module provides advanced searches for words or phrases that exist within documents stored in OnBase. These words or phrases can exist in COLD/ERM documents, text renditions of image documents (OCR'd images) as well as certain third-party application documents such as Microsoft Word, WordPerfect®, Microsoft Excel® or Adobe® PDF.

OnBase full-text search has the power to perform searches using Boolean operators, inflectional searches (finding variations of a word) and searches combining full-text and keywords. Full-text searches allow users to quickly find an occurrence of a particular word or phrase within a vast set of documents.

Document types are assigned to a catalog so that anytime a document of that type enters OnBase, OnBase automatically creates a full-text rendition of the document and stores it in the catalog. The Microsoft Index Server catalogs are repositories that can be configured to store full-text information, usually grouped according to a class or type of document (e.g., human resources, legal, medical).

When documents belonging to types assigned to a catalog are archived into the OnBase system, they are sent to the Microsoft Index Server, which performs the full-text indexing function and stores the full-text renditions of these documents in index server catalogs. Even though the full-text renditions of documents are in the index server catalogs, users search for words or phrases through the OnBase Client interface. Full-Text Indexing Server for Microsoft is tied to the OnBase security model, limiting access to full-text catalogs to only those users with sufficient privileges.

Application

Any organization that stores documents containing unstructured data in a variety of formats throughout its system and needs to perform advanced unstructured searches for content within those documents will benefit from the OnBase Full-Text Indexing Server for Microsoft integration. Full-Text Indexing Server for Microsoft essentially makes every word on a document a keyword, increasing search flexibility and reducing reliance on initial keywords values.
