Document Composition for Microsoft® Word
The OnBase Document Composition for Microsoft Word module aggregates information from multiple sources and automates the dynamic generation of Microsoft Word documents. Worker productivity increases because users no longer have to navigate between information sources to manually produce business documents. Organizations can avoid potential legal and compliance risks by producing standardized documents that are accurate and consistent.
Leveraging the easy configurability of Word templates and their ability to aggregate information from multiple data sources, Document Composition dynamically compiles data from user input and external data sources into a final document. OnBase data, including E-Form data, document keywords, document properties, WorkView values, template fragments and image documents can also be included in the final document.
Simple point-and-click configuration of documents templates to pull in third-party database information, user input and OnBase information is possible without programming knowledge. Options to automate keyword indexing and dynamically include text, based on variable data, are also available. Through flexible security settings, additional template options are available to force preview or edit after document creation and to specify document storage options.
In the OnBase or Web Client, document generation can be triggered as a standalone process or from an existing document. The entire document generation process can also be automated through OnBase Workflow . An Automated Document Generation option establishes a scalable and distributed multi-threaded solution for organizations that need to generate large amounts of documents in a short period of time. Document generation is distributed among servers, creating a scalable, redundant environment that is simple to administer.
Application
Organizations that regularly create manual correspondence or documentation can increase efficiency while standardizing the creation and storage of outgoing correspondence using Document Composition for Microsoft Word. For example, insurance companies may need to produce mass batches of letters in response to claim submissions. They may also produce new policy documentation based on Microsoft Word templates. The Document Composition module allows organizations to automate and streamline these types of batch and ad hoc document creation processes.
Possible uses are limitless. Organizations could use the Document Composition module to produce and save any sort of letters or correspondence. Other organizations may need to produce standard process or legal documentation for regulatory purposes. By standardizing document language, specifying storage requirements and locking down edit options after creation, Document Composition enables organizations to meet various legal and compliance requirements.
Dynamically merging information from disparate data sources and specifying edit, save and e-mail options on final documents will reduce labor and cycle times associated with these tasks while increasing accountability. This module also provides management of document creation by centralizing document templates in OnBase, where they can be even more tightly controlled using the complementary EDM Services module.
