Image Document Composition

The OnBase Image Document Composition module automates the dynamic generation of image documents from OnBase, using scanned-in forms originating from a paper document. Many organizations need to fill out paper forms from external sources as part of their standard business processes. However, it is increasingly difficult to manage all individual form types and the final, completed forms. Additionally, paper forms do not offer standard storage options or functionality to ensure consistent completion of all form fields. With OnBase Image Document Composition, users no longer have to navigate between information sources to produce these documents.

By using a simple configuration tool to create a TIFF image template and aggregate information from multiple data sources, Image Document Composition dynamically compiles data from user input and external data sources into a final image document. OnBase data, including E-Form data, document keywords, document properties,  WorkView values, template fragments and image documents, can also be a part of the final document.

Simple point-and-click configuration of image form templates to pull in third-party database information, user input and OnBase information is possible without programming knowledge. Options to imprint electronic signatures and automate keyword indexing are also available. Based on flexible security settings, additional template options are available to force preview or edit after document creation and specify document storage options.

In the OnBase Client, document generation can be triggered standalone or off an existing document. The entire document generation process can also be automated through OnBase Workflow .

Application

Organizations that regularly fill out paper forms can increase efficiency while standardizing the creation and storage of these forms using Image Document Composition. For example, any organization filling out paper copies of government forms may want to store these documents in OnBase, in order to reduce document storage costs and hold the completed forms for future reference.

Forms created and stored using Image Composition could include tax and government forms, certificates of insurance, financial applications, federal student aid forms and grant applications. By standardizing how forms are filled out and specifying storage requirements, Image Composition enables organizations to reduce paper storage costs and maintain a repository of completed forms that can help meet various legal and compliance requirements.

Dynamically merging information from disparate data sources and specifying edit and storage options on final image documents will reduce labor and cycle times associated with these tasks while increasing accountability. This module also provides central management of image document creation by centralizing scanned versions of the original forms in OnBase, where they can be even more tightly controlled using the complementary EDM Services module.
