Integration for IBM Lotus Notes
E-mail is one of the most rapidly growing sources of content generated by individuals and organizations today. E-mail content has traditionally resided on either an e-mail server or a user's desktop. This model poses a number of challenges to organizations attempting to manage and harness the value of e-mail content as a core component of a knowledge-centric environment.
Lotus Notes has long provided the backbone to enterprise messaging systems. The integration of Notes with OnBase enables organizations to harness the strengths of a dedicated enterprise content management system while retaining the familiar user experience of Notes as the front-end client application.
Application
The Integration for Lotus Notes allows users to use OnBase functionality, such as document retrieval, workflow and document importing, from within Lotus Notes. The Integration for Lotus Notes provides the ability to quickly and easily store e-mail messages and attachments in the OnBase system. Documents can be indexed upon import for fast and easy retrieval at multiple workstations. Because these documents are stored in OnBase, users can clear out messages from their Lotus Notes mail client.
E-mails and/or attachments can be imported by dragging and dropping e-mail into folders mapped to OnBase document repositories or by clicking an Archive into EDMS button in the Lotus Notes Action Bar. The OnBase Import Dialog then appears, prompting the user to select a document type and enter the appropriate keywords. Once the import is complete, the copy of the document is available in OnBase, while the original is left in Lotus Notes. The integration can be customized so that after an e-mail is archived it is removed from the Lotus Notes InBox.
Integration for Lotus Notes customizes Lotus Notes through additions to the Lotus Notes Mail Template. E-mail can be stored in its native 'DXL' format or as plain text with attachments in native format. In addition to viewing archived emails, users can also view existing documents resident in OnBase through the OnBase Lotus Notes Document Retrieval window. Access is provided to OnBase Workflow and the OnBase Explorer Extensions, via the Switcher Menu, The OnBase Workflow Viewer presents the user with OnBase Work Items and the OnBase Explorer Extension supplies alternative searching methods as well as the ability to create OnBase Electronic Forms. The Integration for Lotus Notes must be used with corresponding versions of OnBase Core Services and OnBase Desktop.
