Integration for Microsoft Outlook

E-mail is one of the most rapidly growing sources of content generated by individuals and organizations today. E-mail content has traditionally resided on either an e-mail server or a user's desktop. This model provides a number of challenges when organizations attempt to manage and harness the value of e-mail content as a core component of a knowledge-centric environment.

The Outlook Integration module enables business users to store e-mails and attachments directly into OnBase without the necessity for a separate Client interface. Users are able to drag and drop content from Outlook into folders mapped to OnBase document repositories. Content retrieval is also available using Outlook or through the standard OnBase Client. This integration provides a flexible method for importing content into OnBase via a widely accepted, familiar e-mail client.

Application

The Integration for Microsoft Outlook allows users to use OnBase functionality, such as document retrieval, workflow and document importing, from within Microsoft® Outlook®. With OnBase Outlook Integration, users can import e-mail from Microsoft Outlook into the OnBase database. E-mail can be stored in its native 'MSG' format, plain text, HTML, or Rich Text with attachments in native format. Users can drag and drop e-mail into an OnBase Outlook folder or use the Import into OnBase button to import e-mail. Users can elect to import just the e-mail or to import attachments to the e-mail as well. Once the e-mail is imported into the OnBase database, it is retrieved through the OnBase Outlook Document Retrieval window in Microsoft Outlook or it can be retrieved in the OnBase User Console. In additional to viewing archived emails, users can also view existing documents resident in OnBase through the OnBase Outlook Document Retrieval window. Access is provided to OnBase Workflow and the OnBase Explorer Extensions, via the Tool Bar Menu. The OnBase Workflow Viewer presents the user with OnBase Work Items and the OnBase Explorer Extension supplies alternative searching methods as well as the ability to create OnBase Electronic Forms. The Integration for Outlook must be used with corresponding versions of OnBase Core Services and OnBase Desktop.
