Integration for Epic

The OnBase Integration for Epic offers healthcare providers a transparent mechanism for linking a repository of scanned images and other documents to the registration (ADT/Prelude®), clinical (EpicCare®/Clinical Documentation) and billing (Resolute®) application modules from Epic Systems Corp. As a result, paper-based documents such as registration items (e.g., patient ID, insurance cards), clinical documentation (e.g., consultations, progress notes), EOBs and other documents can be retrieved directly from within the interface of the Epic solution(s).

Making these supplementary documents more readily available improves patient care and satisfaction and contributes to increased efficiency in revenue cycle management. The integration of OnBase and Epic supports initiatives to create comprehensive real-time electronic health records that are secure yet accessible. It also fuels process improvements in patient accounting that can reduce tedious manual processes and reduce days in AR.

Document scanning can be initiated directly from the Epic interface at registration areas and point-of-care and associated with a patient record at the patient, encounter or order level. Integration for Epic also empowers high-speed OnBase scanning outside of Epic in high-volume scanning departments such as Health Information Management for incomplete or complete records as well as hospital and professional billing departments for billing documents. Bar codes are frequently used to match indexing information needed to organize the documents within OnBase to matching Epic patient information utilizing HL7 ADT messaging.

According to predefined user rights managed within the Epic interface, employees in both clinical and business settings can retrieve documents they need directly from within the corresponding Epic screen by simply clicking on hyperlinks within the Epic interface, similar to the way they might retrieve electronic results information natively stored in Epic. Once a user is signed on to Epic, it is not necessary to sign in to OnBase. With very little training, the integration delivers all of the advantages of document management without disrupting the user comfort level and familiarity with Epic.

The OnBase Integration for Epic fits well with other aspects of the healthcare setting, including Citrix® environments. Existing documents, such as those from other document management applications, can be automatically imported into the OnBase repository to be accessed through Epic as well. Data is shared between OnBase and Epic utilizing HL7 messaging protocols that enable automated indexing.

The OnBase Integration for Epic is designed to extend the benefits of document management to Epic users with minimal disruption and training. Patient care is improved as caregivers have access to complete and comprehensive medical record documentation from virtually any location.
