Disconnected Scanning

Organizations with remote offices spread across the globe face the challenge of consolidating content into a central repository. However, scanning documents over a wide area network (WAN) or shared internet connection can consume considerable bandwidth and can slow down production scanners or slow other business-critical applications at those remote sites. Packing and shipping documents to a central location for scanning consumes critical process time and may result in lost or missing documents.

OnBase Disconnected Scanning is a full-featured, standalone scanning application that allows users to scan and index documents without maintaining a connection to the OnBase database or disk groups. Paper documents are scanned and converted to digital images on the scanning workstation using a Kofax®-, ISIS®-, or TWAIN-compatible scanner. Additionally, existing digital images can be imported directly from a network directory or CD. Scanned batches are uploaded to OnBase through a connection to the OnBase Web Server. The upload can be performed manually or scheduled for non-peak hours. Once in the OnBase database, OnBase Client retrieval stations may access the documents.

The Disconnected Scanning module works in much the same way as the Document Imaging module. Since there is no live connection to the OnBase database, the user connects to the OnBase Web Server to download configuration information about scan queues, documents and keyword types. Once the configuration is loaded locally, the connection to OnBase is closed.  Documents are scanned or swept into user-defined scan queues from a workstation running the Disconnected Scanning module.

Documents are then typically indexed, which is the process of associating specific values with a document. Document separation and indexing can be automated through the use of patch code and bar code recognition. AutoFill Keyword Sets, drop-down datasets and Application Enabler  indexing are fully supported to further automate the indexing step. The Disconnected Scanning module offers you the flexibility to index the batches at the remote workstation or to index them within the Imaging module after the batches are uploaded.

Application

Disconnected Scanning is an ideal option for remote locations with limited network resources. It has also been useful for organizations with security that prevent remote locations from having a persistent ODBC connection.

Document Imaging
Disconnected Scanning works in conjunction with the OnBase Imaging to further process batch documents after they are uploaded. Additional processes can be performed on documents when they arrive in the OnBase scan queues. Separate functions, such as re-indexing, double-blind indexing, OCR and line item separation, can all be performed on uploaded document batches.

OnBase OCR
OnBase Batch OCR works in conjunction with the Disconnected Scanning and Document Imaging modules to perform full-page OCR on document images. After they are uploaded to OnBase, batches are OCR'd from a centrally located workstation. OCR can be performed on bi-tonal, grayscale and color images. This additional capability allows text searching of image documents to locate specific information within a document or for locating a particular document based on text content.
