Custom Web Indexing Platform
The Custom Web Indexing Platform allows remote users to process and index scanned batches into OnBase with only an HTML connection to an OnBase Web Server. This customizable Web product allows an integrator to create a custom indexing solution for the Web.
Documents that are scanned via Document Imaging or Disconnected Scanning can now also be indexed by remote users so not all documents must be indexed at a central location, reducing operating costs. With the custom HTML form rather than the standard OnBase keyword panel, administrators and managers can be assured that the correct information is entered into OnBase for easier storage, retrieval and routing.
When indexing users sign into the OnBase Web Client, the Web server directs them to the indexing function upon login. The indexers have access only to the index function without access to full Web Client, increasing security. They are then assigned one or more predefined HTML forms with keyword entry areas that are based on the user groups connected to the user. By showing only what an administrator wants the user to enter, the forms provide more control and standardization of keywords.
After selecting a scan queue and batch, users assign document types and keywords for each document in the HTML form. In the event users are assigned more than one form, they choose the particular form they need for that queue and batch. When indexing, the user sees the HTML form to fill in on the left side of the screen, while the OnBase viewer on the right side of the screen holds the document the user is currently indexing. As users index, each subsequent document is viewed on the right. By seeing both at the same time, indexers can more quickly and accurately enter information.
Application
Organizations supporting a remote and/or mobile workforce will benefit from using the Custom Web Indexing Platform. Documents can also be pushed to outsourced data entry organizations without compromising security.
