COLD/ERM Input Filters

The COLD/ERM Input Filters allow report data in HP's PCL, IBM's AFP or Xerox's DJDE formats to be automatically processed and indexed into OnBase. Using this module, customers can store documents generated by legacy systems or third-party applications into a central OnBase repository without the need to convert the format of the data. 

The Input Filters are quick and easy to set up. Particular values that will be used for indexing can be visually highlighted. Used to facilitate effective document searches, these index values are valuable pieces of information about the document and can link reports to other documents within the system (e.g., matching check images to an accounts payable report). When the process is run, OnBase brings in the appropriate report files and automatically indexes all the documents contained within the files (e.g., individual statements that comprise a larger report).

Processing takes place through the OnBase Client interface, which can be run on demand or scheduled to run automatically. Verification reports are generated every time a process is run to ensure that all expected items were processed successfully. Based on user access rights, the documents are then available in their native formats for retrieval from within OnBase or with an image overlay to replicate outgoing documents such as invoices. Related documents based on the indexed values are then just a click away, regardless of when they were brought into the system or their formats.

Application

The Input Filters reduce printing, storage and/or microfilm/microfiche costs  for organizations in any industry that have requirements to archive large volumes of proprietary text-based reports generated by third-party applications or legacy systems. Organizations also decrease the amount of time it takes to search for a report and information within reports, dramatically improving productivity and customer service levels. 

For example, an insurance company that generates customer policies in PCL to print and mail to its customers on a yearly basis also needs to retain a copy. Reducing the printing by half and eliminating the need to store printed policies, the PCL Input Filter processes the same data the printer processed without any changes being made by the insurance company. As soon as the documents are printed, the documents are processed into OnBase and accessible by agents, customer service representatives and anyone else that needs access, increasing information availability and customer service. These documents are then automatically linked to related documents like customer profiles, payment information and claims.
