Directory Import Processor
The Directory Import Processor allows OnBase users to import documents directly from practically any structured directory. Valuable information contained within folder or file names is used to determine document types and keywords. Logical directories, such as those created by multi-function devices or used by external scanning services to deliver client data, automatically impose this structure on information contained within folder or file names.
OnBase offers a flexible configuration contained within an easy-to-create XML file. Documents can be identified by location in the directory structure or information contained with in a folder or file name. Keywords can then be identified based on a fixed position or delimiter used within the folder or file name. The Directory Import Processor typically processes scanned-in image files, but can be used to process in many other file types, such as PDF and Microsoft® Word documents.
Processing is done through a stand-alone application. During processing, the files and information about them are automatically archived into OnBase based on the XML configuration file. The process can be run on demand or automatically based on a schedule.
Application
The Directory Import Processor benefits organizations that want to bring in files scanned using multi-function devices or are obtaining files organized in a logical directory structure from some other source, such as an outsourced service provider. These documents, processed according to the valuable information contained within the folder or file name itself, are then immediately available for retrieval or for participation in other business processes, such as workflow.
For example, a company that has outsourced all its scanning functions receives a weekly CD of all the documents that have been scanned in. The scanning company organizes the documents with the same type of documents grouped together in a folder. The account number and dates are contained in the file name. When processed in from the CD, all documents are identified by which folder they are contained in, such as correspondence. Then the account number and date are automatically stored with that document inside OnBase.
