Document Distribution

OnBase Document Distribution maximizes the capabilities of OnBase  Image Statements by managing the process of electronic delivery. With OnBase Document Distribution, documents are delivered directly to the intended recipients, eliminating the need for paper, printing and postage costs. The Web-based architecture of OnBase allows Document Distribution to be implemented either at a customer site or at a host facility, accommodating organizations of all sizes.

Using a common keyword, the user first defines a relationship between primary and secondary documents to set up the statement format. Recipients are then defined, each with their desired document distribution method. Based on a recipient's profile, OnBase distributes the statement in PDF, TIFF or RTF format for e-mails and Web postings. The system also provides the option of attaching a customized cover letter, e-mail message or promotional document to a statement.

OnBase uses a workflow  to automate and manage the distribution process. Each statement is faxed, e-mailed, distributed to a Web site, burned to a CD or any combination of options according to the unique keyword assigned to each statement.

If the delivery is unsuccessful because of hardware failure, loss of connectivity or other issue, OnBase can attempt to re-send e-mails and faxes for a specified number of times before it notifies a process manager. A user always has the option to distribute ad hoc in any given situation. For large data sets, users can schedule distribution during off-peak hours, avoiding any interruption in daily production.
